What are e-deliveries?
E-deliveries can be compared to traditional correspondence, where instead of a letter or postcard, we have electronic documents. Every entrepreneur will have to have a so-called e-delivery box – an electronic address to which messages can be sent and received. This system is intended to improve and standardize communication between entrepreneurs and public administration and provide appropriate evidence of document delivery.
E-delivery implementation dates
For several years, the deadline for implementing e-deliveries has been postponed several times, but the current date is January 1, 2025. From that moment on, according to a specific schedule, various groups of entrepreneurs will have to gradually introduce the e-delivery system. The first group that will be obliged to implement this system are professions of public trust, including attorneys, legal advisers, tax advisers and notaries. The next group are entities entered in the National Court Register (KRS), which will have to fulfill this obligation by April 1, 2025. Other companies, such as those entered in the Central Registration and Information on Business (CEIDG), will be obliged to implement e-deliveries in 2026.
Principles of operation of the e-delivery system
The e-delivery system not only enables the unilateral sending of documents by offices to entrepreneurs, but also allows companies to communicate with public institutions, other companies or customers. A key feature of this system is the generation of electronic proofs of sending and receiving, which will have legal force, which may be particularly important in the case of legal disputes.
How to implement an e-delivery system in your company?
The first step that every entrepreneur must take is to set up an e-delivery address. This address, like the NIP number, will be permanently assigned to the company, regardless of which operator will provide the service. The entrepreneur can decide to cooperate with the designated operator, which is currently Poczta Polska, or use the services of commercial suppliers.
The introduction of e-deliveries should not generate large costs or require the employment of specialists, especially in companies that already have developed systems for managing electronic documentation. For smaller companies that do not have extensive systems, the implementation process may be slightly more complex, but it is possible to carry out using available tools offered by service providers.
Choosing an e-delivery operator
There will be several operators on the market offering e-delivery services. The choice of operator should be considered so that the system is as functional as possible and adapted to the needs of the company. Operators will offer the possibility of communication with both public entities and commercial ones.
Preparation for the implementation of e-deliveries
Businesses should prepare for the implementation of e-deliveries in order to avoid problems related to delays. It is important not to leave it until the last minute and to take care of the appropriate technical infrastructure and internal processes now. Companies should also monitor legislative changes that may affect the final shape of the e-delivery system.
The e-delivery system is the future of communication. Although its implementation will not be mandatory until 2025, it is worth starting preparations now to avoid problems and ensure a smooth transition to the new method of communication. Choosing the right operator and integrating e-deliveries with existing systems are key elements that will ensure the smooth functioning of the company in the new digital reality.
