Mobile e-seal. A secure tool for modern business

Data breaches have tripled in number between 2013 and 2022, according to a study conducted by Stuart Madnick of the Massachusetts Institute of Technology for the Apple report. The conclusion? Companies should not only better secure their data, but also use tools that allow them to confirm the authenticity of documents. A perfect solution in this regard is the qualified electronic seal from KIR, available in several user-friendly versions.

Innovative trust service

A qualified electronic seal is the digital equivalent of a traditional company seal. This concept was introduced in the EU eIDAS regulation (electronic IDentification, Authentication and Trust Services) for companies and institutions that can use an e-seal to authorize the documents they provide. Unlike an electronic signature, which refers to a specific natural person, an e-seal refers to an organization – it contains, among other things, the registration name, identifier (e.g. NIP or KRS) and address. An e-seal makes it much easier to work with documents in digital form, without having to use the employee’s personal data (which is required by an e-signature).

The entrepreneur can use an e-seal available in several options. KIR – a technological hub and market leader in the field of trust services – provides a qualified electronic seal on a cryptographic card and a seal on a cryptographic HSM module (Hardware Security Module), i.e. a hardware security module – a device for storing and managing security keys.

The latest service offered by KIR is a qualified mobile seal – a solution that can be used on any device, such as a laptop or phone, without the need to use readers, cards or additional software. In this variant, the seal can be applied via the mSzafir portal (a qualified time stamp is attached to each e-stamp), the mSzafir mobile application or any application with a sealing function.

In the case of a qualified mobile seal, KIR clients can choose seals with a validity period of one or two years and with an optimal package for them: from 500 to 100 thousand seals. A qualified e-seal is issued exclusively by verified trust service providers who appear in the register of the National Certification Center.

Document security

A qualified electronic seal is used in various areas of activity – it is used to authorize official correspondence, e-invoices and other accounting documents, regulations, certificates or reports.

Documents with an e-seal can be easily verified for authenticity, which significantly reduces the risk of fraud and manipulation. Implementing such a solution is a quality mark in terms of company data protection. It is also a clear signal to business partners that the company takes a responsible approach to cybersecurity and consciously implements an innovative business model.

Companies provide many documents on their websites. Regulations or instructions can be downloaded and, with current possibilities, relatively easily manipulated. Using e-seals increases data security and provides high protection of documents against unauthorized changes. In practice, this means that after using e-seals, modification of the stamped file by unauthorized persons is not possible, and in case of any doubts, it can be clearly determined whether the document is authentic and has not been changed.

Convenience of business operations

E-stamp facilitates customer and contractor service, and the ability to stamp multiple documents simultaneously significantly speeds up internal processes. It also ensures more efficient communication with customers and partners.

The digital seal eliminates the need to print, scan and physically send documents, allowing you to reduce the amount of office supplies you use, save time and money and – equally importantly – reduce your carbon footprint.

The tool is recognized in all European Union countries, which makes it easier to conduct international business relations. The seal will also support the planned implementation of the regulation regarding KSeF, or the National System of e-Invoices.
